Trail Partner Terms
Last updated: 5 September 2026
Version: 2026-08-14-v1
These terms apply when an eligible council, tourism organisation, cooperative, association or other approved organisation applies for, accepts membership of, or acts through a FarmGateRun Trail Partner organisation. They supplement the general FarmGateRun Terms and Privacy Policy.
1. Eligibility and authority
Eligibility and approval are determined by FarmGateRun. You must use an active FarmGateRun account with a verified email and be authorised to represent the organisation. Application evidence, work contact details and declarations must be accurate. Approval creates organisation access; it is not approval of every future trail or listing.
2. Organisation members and responsibility
The organisation is responsible for the people it invites and for promptly revoking access that is no longer authorised. Viewer, Editor, Manager and Owner permissions are enforced separately. Owner cannot be assigned by an ordinary invitation, and the final active Owner cannot be removed or demoted. No organisation member may approve the organisation's own application, listing contribution or trail.
3. Drafts, review and publication
Trail drafts and later revisions remain private until the required FarmGateRun review. A submitted revision is frozen while pending. Publishing creates an immutable approved version; later edits do not replace that version until separately approved. FarmGateRun may request changes, reject, suspend, archive or remove content for accuracy, safety, privacy, legal, rights or policy reasons.
4. Existing listings and missing places
Use current approved, route-eligible FarmGateRun listings wherever possible. A missing-place contribution follows the existing listing moderation process and does not give the organisation ownership, a business claim or management access to the canonical listing. Do not create duplicates or represent that a listed business has endorsed the organisation or trail without permission.
5. Accuracy and maintenance
Provide factual trail text, safe public start guidance, appropriate stop order, season, booking, access, suitability, accessibility and safety notes. Review trails when requested and submit material changes for moderation. Business details such as public name, location, opening information, booking links and route eligibility remain live listing information and may change independently of a published trail version.
6. Content, media, links and attribution
You confirm that the organisation has the rights and authority needed for every submitted description, logo, image, link, source and partner attribution. Supply truthful alternative text and credits. Do not submit private, confidential, infringing, misleading, unsafe or unlawful content. Displaying a partner is attribution only and grants no FarmGateRun organisation-management authority.
7. Privacy and public information
Do not place private evidence, member details, home addresses, private starting locations, raw GPS coordinates or other sensitive information in public trail fields. FarmGateRun keeps application evidence, private contacts, invitations and moderation notes restricted to authorised users. Public pages use current listing privacy and suppression checks even when an earlier immutable publication contains a historical reference.
8. Business correction, opt-out and removal
A verified business may request removal from one trail or all Food & Farm Trails. A verified request may place an immediate temporary hold. Privacy, legal and business opt-out holds can remove the business identity, address, image and coordinates from every public trail surface. An approved removal creates a new administrative publication while preserving prior history for audit.
9. Statistics
Where trail statistics and a compatible analytics-consent mechanism are enabled, organisation members receive only aggregate data for their own organisation. Reports exclude recognised bots and FarmGateRun administrator traffic and do not disclose visitor identities, emails, raw IP addresses, private starts or raw analytics session identifiers.
10. No certification or guarantee
Trail Partner status, moderation or publication does not mean FarmGateRun or the organisation certifies a business, product, food safety, road, route, booking, availability, access, suitability, accessibility or safety information. Food & Farm Trails are planning suggestions. Travellers must verify material details and travel safely.
11. Records, suspension and closure
FarmGateRun retains applications, decisions, memberships, publications, reports and audit records under its published retention and legal-hold rules. Suspending an organisation or trail removes public eligibility without rewriting immutable history. Archive is terminal through the ordinary interface. Feature flags may pause public or partner interfaces without deleting records or ending retention, privacy, hold or audit obligations.
