FarmGateRun respects your privacy. This Privacy Policy explains how FarmGateRun collects, uses, stores and protects personal information when you use our website.

1. About FarmGateRun

FarmGateRun is an Australian farm-gate food pickup directory and route planning service. We help visitors find farms, food producers and local pickup points, add them to a route and open that route in Google Maps.

2. Information we collect

We may collect personal information when you:

  • Register for an account
  • Submit a farm or food business listing
  • Upload listing or product information
  • Send an enquiry to a producer
  • Contact FarmGateRun
  • Use forms on the website
  • Use the route planning feature
  • Interact with security tools such as Cloudflare Turnstile
  • Submit an Assisted Listing private-draft request as an authorised business representative
  • Submit and confirm a no-account business listing permission by email

The information may include:

  • Name
  • Email address
  • Phone number
  • Business name
  • Business address or pickup location
  • Listing information
  • Product information
  • Enquiry messages
  • IP address and basic technical information
  • Date and time of website activity

3. How we use information

FarmGateRun does not build prospect email lists from publicly collected farm or producer details. Historical opt-out, suppression and do-not-contact records may be retained so that FarmGateRun can continue to honour those preferences. Assisted private-draft requests and no-account business listing permissions are separate affirmative processes. Each requires authority from a business representative for the exact nominated public sources; the no-account publication route also requires confirmation through the submitted email address.

We use information to create and manage user accounts, display approved listings, send enquiries to producers, help admin review submissions, protect the website from spam and abuse, improve FarmGateRun, respond to contact requests and keep basic records and statistics.

4. Public listing information

If you submit a producer listing, approved listing information may be displayed publicly. This may include business name, description, location, contact details, photos, product information, opening hours and pickup instructions. Do not submit information you do not want displayed publicly.

5. Enquiries

When a visitor sends an enquiry through a listing page, the enquiry is saved in the FarmGateRun database and made available to the relevant producer and site admin.

6. Route planning

FarmGateRun uses selected listing stops and an optional starting location to create a route link for Google Maps. FarmGateRun does not control Google Maps and is not responsible for Google Maps content, routing decisions, travel times or directions.

7. Cookies and security tools

FarmGateRun may use cookies, sessions and similar technologies to keep users logged in, protect forms, remember route baskets and improve website functionality. FarmGateRun uses Cloudflare Turnstile to help protect forms from spam and abuse. Cloudflare may process technical information as part of this service.

8. Sharing information

We may share information with the producer when you send an enquiry, with admin users who manage FarmGateRun, with service providers needed to operate the website, if required by law, or to protect FarmGateRun, users, producers or the public from misuse or harm. We do not sell personal information to advertisers.

9. Data security

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access. However, no website or internet transmission is completely secure.

10. Access and correction

You may contact FarmGateRun to request access to, correction of, or deletion of personal information we hold about you, subject to legal and operational requirements.

12. Changes to this policy

FarmGateRun may update this Privacy Policy from time to time. The updated version will be published on this page.

13. Aggregate community totals

FarmGateRun may publicly display aggregate, non-identifying community totals, such as the number of verified active traveller accounts. These totals never display names, email addresses or other personal account details.

14. Community visits and location verification

When you check in, FarmGateRun may use your current coordinates to determine whether you are near the listing. Exact check-in coordinates and private feedback are not published. Public listing pages may show aggregate visit and visitor counts. Uploaded photos are re-encoded to remove embedded metadata before storage.

15. Listing contributions and claims

FarmGateRun records who contributed a listing separately from the verified business owner. Claim details and suggested edits are available only to authorised administrators and are used for verification, moderation, fraud prevention and audit purposes.

16. QR codes and source activity

A FarmGateRun listing or shared-route QR code opens a FarmGateRun page. The link may contain a source marker so FarmGateRun can count aggregate activity such as opens, without giving the business the traveller's name, email address, private route, home location or activity at other businesses. If FarmGateRun offers a direct custom QR code for an external website, booking page or menu, that code contains the exact external HTTPS destination and opens it directly. FarmGateRun does not operate a redirect or receive scan analytics for that direct external code. The external provider may collect information under its own privacy policy.

17. Traveller Reward records if the feature is enabled

If FarmGateRun enables Traveller Rewards, we may store the traveller account identifier, listing and reward identifiers, reward version, claim and redemption times, eligible purchase amount, calculated discount amount and claim status. We use these records to confirm eligibility, calculate the published percentage discount, prevent duplicate use, support disputes and produce aggregate business reports. We do not need or store payment-card or bank details, itemised receipts, exact GPS coordinates for redemption, or a stored-value balance. Participating businesses do not receive traveller contact details through reward reporting.

18. Reward analytics and marketing consent

Reward reporting to a participating business is limited to aggregate operational information such as claim and redemption counts, conversion rate and total eligible purchase and discount amounts. These reports do not disclose traveller emails, private routes, home locations, purchases at other businesses or unrelated private activity. Consent to receive marketing is separate from accepting reward terms, and a reward claim does not itself subscribe a traveller to marketing.

19. Produce Alert privacy

A signed-in traveller may provide an interest level, optional estimated quantity, preferred pickup date, travel distance, optional note and notification choices. Listing owners receive anonymous aggregate demand and planning details only. FarmGateRun does not show them the traveller's name, email address, account identifier or email recipient record through Produce Alerts. FarmGateRun uses the account email only to deliver notifications selected by the traveller. An interest expression does not reserve produce or create an order.

20. User Manual feedback

When you rate a User Manual chapter, FarmGateRun may store the chapter, your rating, an optional comment, an optional signed-in account identifier and a one-way session hash used to limit repeated submissions. The feedback form does not store your raw IP address. Feedback is used to improve help content and is available only to authorised administrators.

Country and data operation

FarmGateRun currently supports listing and route data in Australia. We may store a country code with an account, listing, saved route, payment record or location selection so that addresses, search, routing, billing records and legal notices can be handled correctly. A temporary browser location is used to centre a search or route and is saved with a route only when you explicitly choose to save it. Service providers used to operate FarmGateRun may process information across national borders under their own privacy and security arrangements.

Trail Partner and Food & Farm Trail records

We may store organisation applications, authority evidence, work contacts, public profile choices, declaration versions, memberships, invitations, trail drafts, immutable publications, missing-place contributions, reports, removal requests, suppression records and moderation audit history. Private evidence, applicant and member contacts, invitation details, private starts and administrator notes are restricted to authorised access and are not included in public trail snapshots. Verified business privacy, legal and opt-out holds can remove a listing’s identity, address, image and coordinates from public trail surfaces. Retention periods and legal holds apply according to the record type.

Food & Farm Trail statistics

Where the trail analytics feature and a compatible consent mechanism are enabled, FarmGateRun may record first-party trail product events using a one-way session hash, trail/publication identifiers, a permitted source and successful stop counts. Recognised bots and FarmGateRun administrators are excluded from organisation reports. Trail Partner reports use Australia/Brisbane dates and do not disclose visitor identities, emails, raw IP addresses, exact starts, entered addresses, GPS coordinates or raw session identifiers. If trail analytics consent is declined or has not been granted, FarmGateRun does not create a raw trail event or a new trail analytics session identifier. Operational security, audit, rate-limit and submitted-report records are not product analytics and remain subject to their own rules.

Private-event enquiries

Private-event enquiries may contain contact details, requested dates, group information, accessibility needs, messages, quotes and booking notes. These records are available only to the customer, authorised business users and FarmGateRun administrators who need them to operate, secure or moderate the service. Unlisted offer links are excluded from the sitemap and include a noindex instruction, but anyone with the link may open the public offer details. Do not place private attendee or contact information in public offer text or URLs. Enquiry, quote, message and audit records are retained as reasonably required for service delivery, security, disputes and legal obligations.

Assisted private-draft requests

When you ask FarmGateRun to prepare a private draft through the assisted-listing service, we record your representative and business details, each nominated source URL and permission choice, consent wording and version, submission time, account details where available, and a one-way hash of the submitting IP address. We use this information only to administer the request, prepare the authorised private draft, communicate with you and retain an audit trail. This is separate from the no-account publication permission route. You may withdraw source permission before publication. Draft information is retained only as reasonably required for the service, dispute handling and legal obligations.

No-account business listing permission records

For the separate no-account publication route, we record the representative and business details, submitted email address, exact nominated public website and social-page URLs, permission choices and wording, consent version and time, email-confirmation status and time, moderation history, linked listing identifier and security information such as a one-way network identifier and browser details. If optional image permission is selected, we also record its scope and the representative's confirmation that the business owns or is licensed to authorise the eligible images. We use these records to verify the request, contact the representative, manually review only the nominated sources, write and moderate an original listing, document permission, prevent misuse and handle correction or removal requests. The representative's email, confirmation token, security data and internal audit records are not public listing content. Approved factual listing information and separately authorised eligible business-owned images may become public after administrator moderation. We do not use this permission to copy reviews, ratings, testimonials, customer or tagged content, private messages, restricted material, customer databases or other third-party content. Records are retained only as reasonably necessary for the service, security, correction or removal, suppression, disputes and legal obligations. You may request access, correction or removal through FarmGateRun's contact and removal processes.

Shared-route privacy

Shared routes publish only the fixed route snapshot and attribution choices selected by the creator. FarmGateRun does not publish a saved GPS start, exact check-in coordinates or a private home starting address. Creators must use a safe public start label such as a town or landmark and explicitly confirm any exact address they choose to publish. If you choose a current location or enter an address while trying a shared route, that start is applied only to your private route session. It does not change the published route or reveal your location to its creator. A starting point is retained with a saved route only when you explicitly choose to save it. We record aggregate shared-route activity such as views, QR visits, website referrals, social shares, link copies, map opens, copies and stops added. The homepage example may also record privacy-safe interaction events such as viewing the example or choosing its planning, map or add-place actions. Administrator previews and recognised automated crawlers are excluded where supported. Security-protected one-way session and network hashes may be used to reduce duplicate counts and investigate abuse; public analytics do not identify individual visitors. Source markers do not contain personal information. Reports, feature requests and moderation audit records are retained as needed to operate and protect the service.

Traveller social-link records

We store the Traveller account identifier, submitted public profile URL, platform, optional public handle, listing-specific content URL, disclosure, moderation state, reports and security/audit records. Public listing cards show only approved profile information and the approved link for that listing. Internal moderation notes, account email, contributor records, report details and audit information are not public. FarmGateRun validates submitted URL text but does not fetch or scrape external content. External platforms may collect information when a visitor chooses to open a link under their own privacy practices.

Country Kitchen records

We store recipe drafts, approved and pending modern and Original Recipe versions, story/provenance, broad origin, structured measurements, explicit local-category mappings, media roles, safety flags, moderation history and reports. My Cookbook saves are private. I Made This notes/photos remain private until approval, and pending edits do not replace approved content. Public pages show approved content and privacy-safe attribution only. A first-party preference cookie may remember Metric or US / Imperial; Original Recipe is a per-recipe view and is not stored as the global preference.

Official Recipe link records

If the optional official-link feature is used, an immutable Recipe version may store the Recipe owner identifier, submitted public creator or channel name, direct HTTPS destination, destination hash and host, link label, commercial-relationship method and disclosure. These values follow the normal Recipe draft, pending and approved moderation lifecycle; there is no separate Chef profile, channel application or channel-verification record. Public Recipe pages show only values from the current eligible approved Recipe version. Account email, internal notes, pending or rejected versions and security or moderation records remain restricted to authorised access.

Official Recipe link-open statistics

Where enabled, FarmGateRun may record privacy-minimised Australia/Brisbane daily aggregate link-open totals against an approved Recipe version. Totals can include repeat choices, although a rapid repeat may be omitted when the browser already has a FarmGateRun session. Opening the link does not create an analytics identifier. Recipe owners, FarmGateRun administrators, recognised automated requests and test activity are excluded where supported. The daily aggregate table does not store an exact click time, visitor identifier, raw IP address, referrer, user-agent string, email address, account identity, destination URL or activity after leaving FarmGateRun. Reports in My Recipes describe attempted link opens, not identifiable people, completed destination visits, followers, subscriptions or sales. External destinations may collect information under their own privacy and cookie practices when a visitor chooses to continue.

Brand and stockist records

We may collect brand profiles, product mappings, stockist relationships, confirmation dates, source and moderation information, and retailer confirmations, disputes or opt-out requests. Approved public information may be displayed on brand, retailer, search, map and route pages. Moderation evidence, private source notes and audit information are restricted to authorised access and are not public stockist details.

Private stockist delivery data

Authorised business users may enter delivery contacts, private delivery phone or email details, entrances or address overrides, receiving days and windows, quantity notes, private notes, route starts and ends, and delivery-run status. This information is used for the relevant business's private Stockist Manager and Delivery Runs functions, security, necessary support and legal or operational obligations. It is not intended for public display. Access is limited to authorised managers of the relevant business and restricted FarmGateRun personnel where access is necessary and authorised for support, security, moderation or legal obligations, with access controls and audit records.

Mapping providers for Delivery Runs

When an authorised user requests route calculation or opens navigation, the addresses or coordinates needed for that request may be provided to the applicable mapping service under its terms and privacy practices. Private notes, quantities and delivery contacts are not sent to the mapping provider by FarmGateRun.

Accommodation bookings and enquiries

Farm Stay and Caravan Park availability, pricing, bookings, payments, changes, cancellations and refunds are handled directly by the accommodation operator. FarmGateRun provides discovery, route-planning and enquiry tools only. An enquiry is not a booking. Enquiry contact details are stored and shared with the relevant operator so they can respond.

Distance filters and route planning

FarmGateRun distance filters, closest-first sorting, map pins and route links are approximate planning aids only. Unlimited distance and local radius searches do not optimise routes, guarantee driving times, guarantee road suitability or confirm that a business is open or available.

Caravan and towing routes

FarmGateRun does not currently account for caravan dimensions, towing restrictions, low clearances, weight limits, unsealed roads, seasonal closures or live road conditions. Users must check the proposed route, current road conditions and park access requirements before travelling.

Free Business Accounts and listings

Creating, claiming and managing standard FarmGateRun listings is free. Standard listings have no charge or checkout step. No payment card, subscription, expiry or plan selection is required.

External Book Online and Order Online links

An eligible claimed business may supply an approved HTTPS link to its own booking or online ordering page, or to a chosen provider. The external business or provider controls that website and handles availability, prices, customer information, bookings, orders, payments, deposits, changes, cancellations, refunds and disputes under its own terms and privacy practices. FarmGateRun does not process the booking, order or payment, does not become a party to the transaction and does not guarantee the external service. A business booking or ordering link does not represent endorsement or guarantee bookings, orders or sales. Businesses are responsible for keeping the destination lawful, accurate, secure and current.
